The basics
- Tabs
- Open shows what needs action. Accepted and Rejected are read-only history.
- Accept
- Adds the applicant to the company and assigns them the lowest role. You can include an optional message that the applicant sees.
- Reject
- Keeps the applicant out and locks new applications from them for 14 days. A reason of at least 10 characters is required.
- Staff notes
- Free-form notes per application. Visible to staff only. Auto-saved 500 ms after you stop typing.
- Already in a VTC
- If the applicant joined another company after applying, Accept is blocked. A red chip warns you on the card.
- Decision messages
- Every accept / reject message goes through HTML sanitisation and a moderation check before it is saved.
Boost-gated extras
The features below unlock once your VTC reaches the boost threshold configured by VTLog (see your application page for the current value).
- SLA dots
- Top-right dot on each Open card. Green under 24h, yellow under 72h, red and pulsing past 72h.
- Claim
- One staff member can claim an application so others know who is reviewing it. The claimer can release it.
- Tags
- Color-coded labels. Manage presets under Staff → Settings → Applications. Add to a card with the + Tag button.
- Quick-reply templates
- Pre-written accept/reject messages. Pick one from the dropdown in the decide modal. Supports the
{username}and{vtc}placeholders. - AI summary
- Generate a brief profile summary of the applicant on demand. Cached for 14 days.
- Custom questions
- Add fields to the apply form. Answers show on the card under an Application answers section.
- Application gates
- Per-VTC thresholds (level, account age, distance, game activity). Failures show as red badges; they flag, they do not block.
- Discord webhook
- Posts a card to your Discord channel each time someone applies. Configure under Staff → Settings → Applications.
Good to know
- Cooldown
- Rejected applicants are blocked from re-applying to this VTC for 14 days. The apply form tells them how long is left.
- Owner role
- New members always join the lowest role. Promote them from Staff → Members.
- Discord notifications
- Applicants are notified by DM via the bot on accept/reject. The optional webhook posts to a channel for the staff team.
